I've attached the Procedures that we follow and the Memos that started the process are attached as pages 3 and 4 - looks like it goes back to 1999. It is just our way of showing that mail that was received by the Commissioners has been forwarded to the appropriate Department Head or Elected Official and then the response is listed as an item of Communications on the Agenda to show that a timely response was made. Ms. Winters, Thank you for taking your time to bring forward your concerns and questions. Concerning the renewal amounts — both vehicles are ten plus years old and are as low as they will be amount wise. Once a vehicle reaches ten plus years old, the year no longer factors in as much in figuring 1 the registration cost. The registration is based on the year, weight and taxable value of the vehicle, so the GMC truck weighs more than the Honda which is why the GMC's renewal is more. Concerning the phones: I do apologize for your wait time on the phone. We have been experiencing some issues with the new county phones. May I ask which number you dialed and on what day? We have found that there are old numbers people have dialed and that is why some people have waited an extended amount of time on the phone system. We are going to be implementing a phone tree once we have tracked down most of the bugs in the system. Hopefully that will improve the phone service from our department to the public calling in. I sent in that amount and also checked my records for the amount on plate renewal of our 2006 Honda. I found it odd that the truck renewal was higher than the Honda which is 8 years newer. At that time I called the Clerk and Recorder's office and was on wait for 48 minutes before I hung up and called another number under Weld County. I realize that this department is always busy but I would think there would be a more efficient way of dealing with incoming calls. If I were still working I would have found it difficult to be able to wait that amount of time for someone to answer my call and I can't imagine an employer allowing an employee to use business time to wait that long for service. When I was working in a corporate service company I was expected to handle incoming calls on a timely basis or take a message and call back as quickly as possible. The public is expected to submit any monies due to the county or state in a timely manner and I think we should be considered in the same way.
