HomeMy WebLinkAbout20182755.tiffMemorandum TO: Board of County Commissioners FROM: David Springer, Director of Fleet Services SUBJECT: Patrol SUV AWD B1800138 Nov 08, 2018 The Fleet Services Department has reviewed bid number B1800138 for ten patrol all -wheel drive utility vehicles for the Sheriff's Department. The bid was initially awarded to AutoNation Ford in Littleton on September 12, 2018 and they were the low bidder. Weld County has been informed by AutoNation that they cannot supply the vehicles at the original bid price or in the 2019 model year. As Director of Fleet Services, I am recommending to the Board of Commissioners that the County rescinds this bid. During the bid process, the next lowest bidder was Fort Collins Dodge. Their vehicle bid did not meet specifications as outlined in the bid documents. The next lowest bidder that met specifications was Spradley Barr Ford. Their original bid price was $33,874.00 each for a total of $338,740.00 for the ten vehicles. Spradley Barr will give a Weld County Dealer Discount of $600.00 per vehicle, making the adjusted gross $332,740.00. The total, additional cost to Weld County, from the original low bid will be $21,872.20. It is critical to the operation of the Sheriff's Department that these vehicles are purchased within the next 30-60 days. If they are not purchased within this time frame, it could significantly delay ordering and receiving the vehicles and prices may increase. Options for the Board: 1. Rescind the bid award to AutoNation Ford and award to the next lowest bidder, meeting specifications, Spradley Barr Ford for a total price of $332,740.00 2. Rescind the bid and go back out for rebid. Recommendation of Fleet Services and Controller: Staff recommends awarding the bid to Spradley Barr for the total of $332,740.00.
