Subject:Centennial Courtroom HVAC—Task Order
Weld County awarded the design of the Centennial Courtroom design to Cairn Design LLC. During the
design process, it was discovered that the 1976 HVAC configuration in the DA space will need substantial
improvements to meet current accepted office temperature control of installing Variable Air Volume
boxes with reheat capability. To perform this design work,Cairn has quoted$9,000. This amount follows
the fees structure rates for the bid they were awarded for conducting on-call design services.
Therefore, Buildings & Grounds is recommending approving this task order so design can continue to
progress.

Brief description of the problem/issue:
Weld County awarded the design of the Centennial Courtroom design to Cairn Design LLC. During the design process, it

Project Title: Weld County District Attorney Office-HVAC Survey&Design

Design Compensation: $9,000.00
Note: Pursuant to the "Original Agreement", document No. 2019-2250 section2.2- Additional
Task Order Work. In addition to that work described in section 2.1,the Parties may agree
to additional work to be provided by Contractor pursuant to an appropriately executed
Task Order, which shall be negotiated between the Parties on an as needed basis. Any
such Task Order shall be signed by the Weld County Director of Buildings and Grounds
before it shall be effective. In no event shall the total of all Task Orders exceed$25,000 in
any calendar year unless first approved by the Board of County Commissioners. Any
appropriately executed Task Order shall be automatically incorporated herein and
enforceable.
Scope of Task Order:
The project will involve full architectural and engineering design and construction administration of
the HVAC system for the Weld County District Attorney's Office in the Centennial Building in
Greeley, CO.
1. Architectural, mechanical, electrical and plumbing design for the project. The project
scope includes: Complete design and construction administration for a new HVAC
distribution system downstream of the main ductwork to consist of branch duct work,
VAV and fan powered VAV boxes, electric reheat coils, and electrical.
Contractor agrees to perform the services identified above and on the attached exhibit in accordance
with the terms and conditions contained herein and in the Original Agreement between the parties.

RE: Weld County District Attorney's Office HVAC Evaluation and Design -Architectural and
Engineering Services
In accordance with the fees identified in our bid, our not to exceed price for this on call work for
this project is $9,000.00.
Scope of Work:
The project will involve full architectural and engineering design and construction administration
of the HVAC system for the Weld County District Attorney's Office in the Centennial Building in
Greeley, CO. Cairn Design, LLC will provide architectural and engineering design under this
agreement including:
Architectural, mechanical, electrical and plumbing design for the project. The project scope
includes:
• Complete design and construction administration for a new HVAC distribution system
downstream of the main ductwork to consist of branch duct work, VAV and fan powered
VAV boxes, electric reheat coils, and electrical.
Scope of Services:
The scope of services included in this proposal are limited to the following:
• Field verification of existing dimensions and systems as they relate to the project.
• Coordination with the client as required to execute the scope of work.
• Coordination with the building department as required for the permit.
• Submissions: Schematic Design, Design Development, Final Design,and For Construction.
• Construction administration to include construction project meetings, RFIs, submittal and
shop drawing review and approval, and final construction walk-through and punch list.
Compensation:
Total Design Fee - Not to exceed $9,000.00
Invoicing will occur with the base contract submissions for the Centennial Courtrooms.

Changes in scope, additional trips to the site, or added services would be billed hourly identified
in the On-Call contract, unless a fixed fee is agreed to in advance for the specific service.
Reimbursable expenses, +1- $200 (mileage and printing services) invoiced at cost + 10%.
Exclusions:
• Design of any system not listed above.
• New or additional heating hot water generating systems.
• Design changes, layout changes, or value engineering requested by client or owner after the
final submission.
