Weld County Sheriff's Office - Next Steps -- I am pleased to inform you that in its final review of grant applications during the Funding Meeting, the Crime Victim Services (CVS) Advisory Board recommended your project for funding up to the amount of $171,228.00 in VOCA funding for CY21 and CY22. This recommendation will become final only upon completion of the edits requested in this letter and receipt of required approvals and signatures at the Colorado Department of Public Safety. While there was a significant increase in funds available for this particular funding cycle (specifically VOCA funds), there was also a significant increase in the amount of funds requested. The CVS Board considered the eligibility, organizational capacity, and project's alignment with the review criteria as they made funding decisions. In the event that cuts were made to your application or if you are interested in receiving more detailed feedback on areas of your application that could be improved in the future, please let rile know and we will provide you with a detailed feedback letter outlining these areas more specifically. Please note that because of the tight timeline our office is under to complete this back -and -forth process and create grant agreements, these letters will not be sent out until later this year. We appreciate your patience. Your project was fully funded. In order to move forward with creating your grant agreement, please review the following comments and follow any required actions: • Review and update the project description based on the personnel and expenses recommended for funding. Ensure that the narrative sections match the budget pages. • Review your victim and service charts, update based on the awarded personnel, and remove match -associated activities. *Only include services that are supported by these funds, and not those that you refer out, or are provided by your agency but not supported with these funds. All positions must describe, in the narrative box, what the fringe is comprised of, for each position. • With regard to the Financial Management Questions (located in ZoomGrants, Documents tab), on item #4 your response was "NO," however, this position is currently being funded by VOCA. I will attach a blank FMQ so that this response can be corrected, as well as item #8 that was handwritten.Please complete this item, with proper signatures again and upload into ZoomGrants. • If you have not yet submitted the agency's most recent audit and management letter, please do asap as it is a requirement to receive funding. • Confirm your project officials as listed in ZoomGrants are current and accurate. • The match requirement has been waived for all VOCA grantees, so this portion of your budget has been deleted. Activities and services associated with match activities should be removed from your Statement of Work. • Please be aware that starting with your new award, agencies will be required to implement a process for ensuring the suitability of staff and volunteers to interact with minors, and that this will include a thorough background check. Please let your Grant Manager know if you do not currently have policies and procedures for this and if you have concerns about covering these costs. OVP will be sending out more guidance on this requirement soon. Required changes to the Exhibits must be completed and emailed to me and any additional documents requested must be uploaded under the "Documents" tab in ZoomGrants by 5:00 pm on August 31, 2020. Failure to meet deadlines may result in a delayed project start date. Due to the impacts of COVID-19, the CVS Grants team wants to support programs by allowing some changes to your new award budgets. Changes could include the following: • Moving funds awarded for professional development and training to personnel line items to support existing staff. *Please note that the Office for Victims Programs is in the process of creating a Professional Development Scholarship fund that may cover some of these types of costs. • Moving funds awarded for emergency financial assistance for crime victims to personnel line items to support existing staff. *Please note, agencies who make these changes are encouraged to access the VOCA Emergency Fund housed at COVA to support these community needs. • Adjusting the personnel budget to mitigate impacts of verified funding cuts from other funding sources. *Please note, changes in personnel that would constitute supplanting will not be allowed. As you will be working directly with me to complete this process, please let me know if you'd like to discuss making any of these shifts in your budget.
