Buildings & Grounds is recommending approval of Task Order 1-2020 to GSG Architecture Inc in the amount of $2,372.00 for this irrigation design. PURSUANT TO AN AGREEMENT BETWEEN WELD COUNTY AND GSG ARCHITECTURE INC Date: March 17, 2020 Task Order Number: GSG Architecture Inc —1-2020 Project Title: Coroner Building irrigation Design Commencement Date: Completion Date: Design Compensation: $2,372.00 Note: Pursuant to the "Original Agreement", document No. 2019-2250 section2.2- Additional Task Order Work. In addition to that work described in section 2.1, the Parties may agree to additional work to be provided by Contractor pursuant to an appropriately executed Task Order, which shall be negotiated between the Parties on an as needed basis. Any such Task Order shall be signed by the Weld County Director of Buildings and Grounds before it shall be effective. In no event shall the total of all Task Orders exceed $25,000 in any calendar year unless first approved by the Board of County Commissioners. Any appropriately executed Task Order shall be automatically incorporated herein and enforceable. Scope of Task Order: 1. Prepare stamped irrigation design and details including 2. Complete layout of irrigation components such as mainline, valves, drip, sprinklers, lateral pipe. 3. The design will try to incorporate as much of the existing irrigation system as possible, though we will not have time to survey the existing system. Any design or as -built drawings you have will be useful. 4. Hydraulic calculations for all piping 5. Irrigation scheduling including precipitation rates and calculated runtimes 6. Irrigation Details 7. Issue Construction Documents in PDF format. Contractor agrees to perform the services identified above and on the attached exhibit in accordance with the terms and conditions contained herein and in the Original Agreement between the parties. Box 758 Greeley, CO 80632 RE: Weld County Coroner's Office Irrigation Design Toby, Please find this proposal to you for the irrigation design for the Weld County Coroner's Office. Scope and fees for the irrigation design of the site are based on the preliminary landscape plans from Russell+Mills Studios dated 3/5/2020. My understanding is that we are on a tight deadline and need to have plans by next Friday 3/20/2020. I have outlined the proposed Scope of Services in Exhibit A. Exhibit B includes our Fee Schedule, Terms and Conditions. If the scope, fees and conditions are acceptable, please return a signed copy, serving as authorization to proceed. Principal 970.231.1396 The Irrigation Engineers March 11, 2020 Authorized Signature Mike Freeman, Chair Weld County Coroner's Office Irrigation Design Proposal —1of4— Date Exhibit A Scope of Services The following is our anticipated scope for the development of an irrigation design for the project: Task 1: Construction Documents (90% and 100% submittals) • Prepare stamped irrigation design and details including • Complete layout of irrigation components such as mainline, valves, drip, sprinklers, lateral pipe. • The design will try to incorporate as much of the existing irrigation system as possible, though we will not have time to survey the existing system. Any design or as -built drawings you have will be useful. • Hydraulic calculations for all piping • Irrigation scheduling including precipitation rates and calculated runtimes • Irrigation Details • Issue Construction Documents in PDF format. Task 2: Bidding/Construction Administration • Answer irrigation related RFIs that come up during the bidding process • Review and approve irrigation contractor equipment submittals and shop drawings. • Site Visits: Conduct one (1) site visit to verify correct installation of components and run hydraulic tests as required. • Author punch lists and separate warranty work lists and inspect punch list and warranty list work. The above tasks assume the following: • Accurate and base information in .dwg or .dxf format will be provided by client. Base information should show the landscaping, buildings, hardscape, and utility information. Changes to the base information after a final base has been delivered may incur additional charges. • A separate, additional proposal will be submitted for any changes to the above scope of services. The following tasks are not included: • Site Survey or survey of existing irrigation system • Pump design. Services: The Irrigation Engineers, LLC will perform the professional services described above. 2. Billing and Payment: The client will compensate The Irrigation Engineers, LLC as described above — Fee Schedule. Payment is due within 30 days of invoice date. If payment is not received within 30 days, a late charge will be assessed monthly, at the rate of 2% per month on the unpaid balance. The Irrigation Engineers, LLC reserves the right to stop work on any account that is past due, and this stoppage will remove The Irrigation Engineers, LLC from any liability and responsibility for meeting any schedule previously agreed to. 3. Termination of Services: In the event of termination or suspension of services described, The Irrigation Engineers, LLC is to be paid for services rendered before receipt of written notice to cease work. 4. Indemnification: The Irrigation Engineers, LLC agrees, to the fullest extent permitted by law, to indemnify the Client against all damages, liabilities or costs including reasonable attorney fees and defense costs, to the extent caused by The Irrigation Engineers, LLC's negligent performance of professional services under this agreement and anyone for whom The Irrigation Engineers, LLC is legally liable. The Client agrees, to the fullest extent permitted by the law, to indemnify The Irrigation Engineers, LLC against all damages, liabilities or costs including reasonable attorney fees and defense costs, to the extent caused by the Client's negligent performance of professional services under this agreement and that of its sub -consultants or anyone for whom the Client is legally liable. 5. Limitation of Liability: To the fullest extent permitted by law, The Irrigation Engineers, LLC's total liability to Client, Owner and any third parties for any and all injuries, claims, losses, expenses or damages arising out of this agreement from any cause or causes, shall not exceed the contract amount. Such causes include but are not limited to The Irrigation Engineers, LLC's negligent acts, errors, and omissions. 6. Opinions of Probable Costs: The Irrigation Engineers, LLC's opinions of probable project costs are made on the basis of their experience, qualifications and judgment; but they cannot and do not guarantee that actual project costs will not vary from opinions of probable cost. 7. Construction Observation: The Irrigation Engineers, LLC considers construction observation an important service and encourages clients to include construction observation in the scope of services. When contracted to perform construction observation, The Irrigation Engineers, LLC will visit the site as requested by Client to observe the Contractor's work and to determine if the work is generally proceeding in accordance with the contract documents. The Irrigation Engineers, LLC will not be responsible for and will not have control or charge of construction means, methods, techniques, sequences or procedures, equipment or product failures, or for safety precautions and programs in connection with the work. The Irrigation Engineers, LLC will not be responsible for or have any control or charge over the acts and omissions of the Contractor or Subcontractors, or persons performing any of the construction work. Regardless of whether The Irrigation Engineers, LLC is contracted to perform construction observation services, The Irrigation Engineers, LLC will be indemnified and held harmless in the event that construction does not conform to the construction documents, or the construction documents are misinterpreted.
