Subject: Weld County Building -1400 Additional Design - Task Order (2019-2250)
Cairn Design, LLC was awarded the bid to design the Centennial Courtroom remodel and subsequent on -
call design work.
Building 1400 was remodeled in two phases. After construction of the second phase, it was discovered
that neither construction design/phase addressed changes for establishing proper heating, ventilation,
and air conditioning in the lactation/storage room. In addition, the front doors need to be replaced to
comply with egress standards.
Cairn Design has provided a quote for this additional design work at $5,500.00 using the fees identified in
their bid. Therefore, the Facilities Department is recommending approving this task order in amount of
$5,500.00

Pursuant to the "Original Agreement", the Parties may agree to additional work to be provided
by Contractor pursuant to an appropriately executed Task Order, which shall be negotiated
between the Parties on an as -needed basis. Any such Task Order shall be signed by the Weld
County Facilities Director before it shall be effective. In no event shall the total of all Task Orders
exceed $25,000 in any calendar year, unless first approved by the Board of County
Commissioners. Any appropriately executed Task Order shall be automatically incorporated
herein and enforceable.
Scope of Task Order:
The project will involve full architectural and engineering design and construction
administration of the Weld County Building 1400 in Greeley, CO. Cairn Design, LLC will provide
architectural and engineering design under this agreement including:
Architectural, mechanical, electrical and plumbing design for the project. This proposal is
for additional items above and beyond the original scope of work due to owner requests.
The additional services scope includes:
• Update floor plans for as -built conditions.
• Provide heating coil to existing VAV serving the Lactation / Storage Rooms.
• Rebalance the flow of the hydronic system.
• Specify replacement hardware for the doors at the front of the building.
Contractor agrees to perform the services identified above and on the attached Exhibit in
accordance with the terms and conditions contained herein and in the Original Agreement
between the parties.
The amount of the contract is adjusted as follows:

Subject: Treasurer Remodel Design Scope Change
Carin Design LLC was awarded the design services for the Treasurer Office Remodel (2019-4487). During
design, it was realized the following items needed to be included but were not part of the original design
quote/scope:
1. Replace the existing split system AC for the telephone room which requires additional electrical
and mechanical design.
2. Renovate the lobby, entrance doors, public restrooms which require additional architectural,
mechanical, electrical and plumbing design.
3. Add a floor sink in a new janitor closet and icemaker plumbing which requires additional
architectural and plumbing design.
The costs associated with this change order follows the rate schedule provided in the bid for additional
work. Therefore, Buildings & Grounds is recommending this change order for $3,545.00

3. HVAC design for three new offices and one conference room being provided in the
Assessors area under a separate contract. Complete HVAC as -built drawings, evaluation
and building -wide balancing.
Contractor agrees to perform the services identified above and on the attached exhibit in accordance
with the terms and conditions contained herein and in the Original Agreement between the parties.

Scope of Work:
The project will involve full architectural and engineering design and construction administration
of the Weld County Building 1400 in Greeley, CO. Cairn Design, LLC will provide architectural
and engineering design under this agreement including:
Architectural, mechanical, electrical and plumbing design for the project. The building is
approximately 15,000 square ft. The scope of work will include complete architectural and
engineering redesign of the existing Treasurer's and Elections office areas, redesign of the
existing west breakroom and mail room area, design of a new reception area for the
Assessors and conversion of the east break room into a conference room (approximately

The remodel scope includes:
• Complete demolition and redesign combining the existing Treasurer and Election areas
into one large area for the Treasurer with a new vestibule/reception, conference rooms
and a mix of offices and systems furniture.
• Selective demolition of interior drywall partitions to combine the west break room,
corridor and mail room into one large break room.
• Selective demolition of the east break room to conversion to a conference room.
• Selective demolition of an existing conference area to conversion to a reception area for
the Assessor's office.
Scope of Services:
The scope of services included in this proposal are limited to the following:
• Field verification of existing dimensions and systems as they relate to the project.
• Coordination with the client as required to execute the scope of work.

• Coordination with the building department as required for the permit.
• Submissions: Schematic Design, Design Development, Final Design,and For Construction.
• Construction administration to include construction project meetings, RFls, submittal and
shop drawing review and approval, and final construction walk-through and punch list.
Compensation:
Total Design Fee - $36,845.00
Invoicing will occur at the following submissions:
Schematic Design - $11,053.50
Design Development - $11,053.50
Issued for Construction - $11,053.50
Final Construction (after acceptance of project by Weld County)- $3,684.50
Changes in scope, additional trips to the site, or added services would be billed hourly identified
in the On -Call contract, unless a fixed fee is agreed to in advance for the specific service.
Reimbursable expenses, +/- $600 (mileage and printing services) invoiced at cost + 10%.
Exclusions:
• Design of any system not listed above, including, but not limited to telecommunications
design beyond conduit and boxes.
• Design changes, layout changes, or value engineering requested by client or owner after the
final submission.
