David has found a replacement vehicle for PW that we were unsuccessful bidding last year because the sole bid was over budget. David found a vehicle that meets the original bid specs that is $13,094 less than the sole bid from last January (attached). He advised that no other vendor has inventory that comes close to the bid specs and this unit (2022 Dodge Ram 5500 w/ flatbed) is currently available. Now that Ford is telling us that Weld County will only be allocated 5 Super Duty units for 2023, it is strongly recommended that we proceed with this purchase. Please advise. My only concern is how is David going to be able to purchase these vehicles without a requisition and purchase order? I spoke to Chris about this and since we won't be sending David to the dealership with a blank check, the dealership would have to be okay with invoicing us for the purchase. I am uncertain how this works so I have copied David on this message. Chris indicated we could cut a check to the dealership within 24 hours, will this work? 4 Surely, the vendor could hold the vehicle for 24 hours until the check was received. Assets cannot be purchased on p -cards but they can be purchased with a check so this would be our best option. Another option would be to provide David with a purchase order # to provide the dealer when he is ready to make the purchase; however, this would mean this item would have to be removed from Sec. 5-4-80. and I don't think we want to do that. Another concern would be for grant purchases, but we don't seem to have very many of them.
