I appreciate the attentiveness! Attached is our updated Special Events Permit Questionnaire that includes the answers to your questions. I have also included the answers below. 1. Page two of the Special Events Permit Questionnaire: the legal description of the property is "Lot B of Recorded Exemption, RE -3926; being part of the S1/2 NW1/4 of Section 6, Township 1 North, Range 68 West of the 6th P.M., Weld County, Colorado" Noted. Thank you! Submitted application was updated, so we're good. 2 Page four of the Special Events Permit Questionnaire: how many security members/volunteers will be present? We will have at least 10 security members/volunteers monitoring the event. Submitted application was updated, so we're good. 3. Page six of the Special Events Permit Questionnaire and Diagram of the Premises: you indicated there is a fence bordering the perimeter of the event area, but on the map you call out both the property boundaries and the boundaries of the proposed use. Will alcohol consumption be allowed within the property boundaries or the boundaries of the proposed use? Where will the fencing be to define the boundaries? Please add dimensions of the area for alcohol consumption. Alcohol will only be allowed within the boundaries of proposed use and excludes the parking lot. This area is 165' x 369' and is clearly defined by fencing. Guests 2 will not be allowed outside of the event area. This needs to be corrected/included on the diagram and re -submitted. 4. Page eight of the Special Events Permit Questionnaire: please identify the source and number of porta potties and hand washing stations at the event. There will be 2 porta potties and one handwashing station (double sided). These are being provided by Colorado Portables. Submitted application was updated, so we're good. 5. Page nine of the Special Events Permit Questionnaire: please contact the local fire district to ensure :hey do not have requirements pertaining to this event. as you plan to allow up to 300 guests in attendance. We have previously received guidance from the local fire district, as we held this event twice last year. While 300 is the max attendance at one time, we are not anticipating this many guests to be present at once. The Fire District needs to be notified every year, even if the event is similar as years past. Let me know if you need anything else! Do not click links or open attachments unless you recognize the sender and know the content is safe. Hi Esther, Thank you for getting back to me. To be candid, I'm very frustrated with the way in which our event permitting has been handled. Last year, we held 2 of these events on our property and we were able to obtain a Temporary Seasonal Use permit along with a Special Events Permit. The processing time for the TSU permit was quick. I can't remember the exact time frame, but I believe it was 30 or so days. I reached out to the planning department on March 1st about obtaining a TSU permit for this event, assuming we were well within the window of opportunity. I was told at this time that the permitting process for events was potentially changing and that I would hear back about how to proceed. I did not hear back until I followed up on March 21st. At this time, I was told that TSUs were no longer in existence and the only permit that we would be able to file for is a USR, which has a processing time of 4-6 months. Being that the event was set to take place on May 20th, this would not give us enough time to apply for and be awarded a USR. I don't understand how it's okay that we've been denied the opportunity to hold this event when we were given no advance notice of permitting changes. I would appreciate some consideration and flexibility here, knowing the circumstances of our situation. Thank you, Janna On Mon, Apr 3, 2023 at 3:27 PM Esther Gesick <egesick@weld.gov>wrote: Hello Janna, Thank you for your earlier responses to the clerical questions sent in my absence, and my apologies for the delayed response upon my return. In coordinating with the Department of Planning Services and Legal counsel, it has been determined that your property must have the proper zoning or land use permits to conduct the proposed seasonal 1 event and Special Event Jermit with the service of alcohol. I believe you also spoke with Chris Gathman in the Department of Planniig Services and were advised similarly. If you wish to proceed Nn,ith your event, one option would be to contact an events facility in the area that already has a permitted property, sic l as Anderson Farms. Otherwise, you will need to work with Planning Services to initiate a Use by Special Review (USR) permit application for your property and consider an alternate date for your event, which will allow you to complete that land use process. Depending on which cot. rse of action you decide to pursue, I look forward to working with you in the future once the land use permitting is resolved or a new event location is established.
