Subject: Audio Visual Equipment Upgrade (92200177)
As advertised this acquisition is for modernizing existing audio-visual components that will also establish
one standardized platform for consistency across the County. The acquisition was published as a
Request for Proposal (RFP). Only one vendor replied to the RFP. This vendor was Xcite Audiovisuals LLC.
During bid review, it was determined the response to the RFP was incomplete. Below is a list of items
that were not included with the RFP response from the bidder:
1. Bidder failed to submit the following items as required per section titled RFP Response, Step C:
Schematic / One -line drawings of each location. These drawings to include model numbers
of each piece of equipment, associated labeling, and designations between new and existing
equipment for all locations.
Detail of Hardware and Work — Identify a line item of equipment to be provided and include
labor and hardware to be used. Use Attachment B - AV Price Breakdown.
Define your commissioning plan.
2. In addition, the submitted bid response contained language that identified certain equipment
items were not included in the project upgrade. These items were:

Due to these omissions, a standardized platform to establish consistent user interface would not be
achieved with this RFP. Therefore, Facilities Department is recommending rejecting this bid. Facilities
will plan to rebid the project in the near future.
