Reference is made to your letter, dated February 4th, 1960, relative to
the disposition of certain records series of your office. In this connec-
tion, the various records series which you speak of have not been placed on
a'schedule authority' basis, as we define under the rules and regulations
established by this Division. It is necessary to make specific application
for such a scheduled action. I am taking this opportunity to partially
prepare public records conservation request forms which will cover the type
of action that you desire. (N.B. All record series placed on:a 'scheduled
authority' must be set up on a separate Public Records Conservation Fore.)
Please indicate the 'minimum retention period' you desire in Section 7.
If you wish to receive authority to destroy any of the records series indicated
in Archives Nos. 59-238 and 59-239 on a scheduled basis, an'individual public
records conservation form with minimum retention period indicated must be
prepared. Upon receipt of these requests, I will review them, and in due
course, you will receive notification of the results of the study made by
this Division relative to the disposition action approved or disapproved.
We are still on the process of studying over the records series entitled
MISCELLANEOUS - YUMA COUNTY - STATE PROJECTS AND MAPS (VARIOUS), and will
take action on this end to dispose of the material or retain any part of it
once a decision is made.
You may proceed to dispose of the records series entitled DISTRIBUTION BOOKS,
1926-1936.
I am sorry there has been a delay in response to your letter, but we have
been busy moving our offices to the new State Services Building and setting
up our new State Records Center. We are just now getting to some of the
work which had to be laid aside.
