The purpose of this letter is to clarify the election information that was presented to the board of directors. I have mailed a copy of the election Calendar and a copy of this letter to J. A. Suki Tsukamoto, Weld County Clerk and Recorder, and Bruce Barker, Weld County Attorney. Enclosed you will find five copies of the Petition for Nomination, Affidavit of Circulator,the Acceptance of Nomination forms, and a sample form filled out to assist you in making sure these forms are correct. Before you distribute these forms to those who wish to serve on the East Eaton Water and Sanitation Board of Directors, the Petition for Nomination, Affidavit of Circulator and Acceptance of Nomination are to be stapled together. Each person who desires to be on the board of the East Eaton Water and Sanitation District needs to fill out each of the three forms. The Affidavit of Circulator and the Acceptance of Nomination forms must be signed in the witness of a Notary. Once these two forms are filled in properly and signed the Petition for Nomination needs to be completely filled in, including the terms of office, which would either be a two or four year term. Please make sure when you are signing the forms that you sign them the way you are registered to vote and use your physical street address not a P.O. Box. Be sure to include the city and county on the forms,too. Please check with the County Clerk and Recorder to determine who the designated election official would would be for this special court ordered election. Once the County has requested from the courts for a special election the judge determines who the designated election official will be for the election. Once these forms are completed they should be turned into the designated election official for the election. The designated election official will determine by lot what order the names will appear on the ballot. 961425 I. 11(1313 Sherman Street, Room 521, Denver,Colorado 80203 (303)866-2156 FAX (303)866-4819 TDD(303)866-5300 Page Two East Eaton Water and Sanitation District August 19, 1996 The following items should be considered,to be included in your Intergovernmental Agreement with East Eaton Water and Sanitation District and Weld County Clerk and Recorder's Office: • Who will determine the lot drawing for the order of the candidates names on the ballot. -• Who will determine the verification of signatures on the petition packet. • Who will print the ballots. • Who will place the Notice of Election publication in the newspaper. • Who will order the registration and property owner's lists. • Who will determine the eligible electors for the election from the registration and property owner's lists. • Who will provide all the election supplies. • Cost of the election to include: ballots,judges, canvassing board, notices, etc. • Who will provide the Division of Local Government a copy of the Certification of Election Results within 45 days after the election. Within 30 days after the election, December 5, 1996, the East Eaton Water and Sanitation District is to provide the Division of Local Government, the Clerk of Court and the County Clerk and Recorder copies of the oath of office for each of the directors, a copy of the surety bond, and listing of all directors with addresses and phone numbers.
