COLORADO SUBJECT: Board of Commissioners, 2009 Chair
and Original Documents scheduled for BOCC Agenda
With the beginning of the new year, the new Chair for the Board of County Commissioners is
Bill Garcia. Please let this memo serve as a reminder to change the name on all contracts,
agreements, etcetera, which are submitted to the Clerk to the Board's office for placement on the
Board's agenda. Bill's name and title should be typed as:William F. Garcia,Chair, Board of County
Commissioners. At the bottom of this memo is a sample attestation and his signature, as well as
a sample of the block for attestation and signature of the entire board. Please be sure all
documents requiring signature have the appropriate blocks typed in, even if a separate page is
required. Also, please do not separate the Chair's signature from the Attestation Block. If other
signatures are on the contract, place them before or after the Chair's signature.
I would also like to remind you that all second and third parties to an agreement should sign the
appropriate documents prior to submittal for placement on the agenda. The only exceptions are
those from the State of Colorado, federal government, and City of Greeley. All other items will be
returned to you to obtain signatures prior to Board action, which will delay approval of your item.
In the case of contracts, grants, etcetera, which are returned to your department for submittal to
the State or federal government, please remember the Clerk to the Board's office MUST HAVE
original contracts, etcetera, returned to them after those signatures are obtained.
The Clerk to the Board staff is presently in the process of imaging all 2008 records for which fully
executed originals have not been returned. Please offer your full cooperation to them in trying to
locate those fully executed contracts.
