HomeMy WebLinkAbout20082008.tiff MEMORANDUM TO: Board of Commissioners DATE: July 23, 2008 FROM: Toby Taylor, Buildings & Grounds Coordinator SUBJECT: Air Conditioning Units in Centennial, B0800113 We have two Air Conditioning Units located on the 3`d floor in a room behind Accounting. These units supply the cooling air for the main hub of the ACS computer equipment which keeps the county running. Loss of cooling air can cause this expensive equipment to overheat and fail. One AC unit quit working some years ago and was abandoned in place due to repair/replacement costs being so high. This caused us to lose any back up cooling capability. Recently,the second unit has been subject to unpredictable shutdowns. Each time it shuts down we don't know if we'll be able to get it started again. Not the situation we want to be in with such a critical communication hub. These units appear to be original equipment when the Centennial Center was built. These AC systems are so old that parts aren't commercially available. We explored the potential to upgrade the existing AC units with three local vendors. After seeing the units, no one would provide us with a price because they are so archaic. Therefore, we conducted a bid to have companies come in and give us their solution and price to provide the 20 tons of cooling capacity we needed for the space. We also stipulated that we wanted redundancy. This means that there shouldn't be a single point of failure which would cause us to lose all cooling in this critical room. The simplest way to achieve redundancy is to have a minimum of two AC units. That left the bidder open to select any number of options to provide us the cooling air we needed. McCreery and Sun chose a system which uses six smaller units to provide the necessary 20 ton cooling capacity. Frontier Mechanical chose to go with a very robust larger brine type system in two separate units to achieve the 20 ton cooling. The other vendor(s)provided no bid. Buildings and Grounds recommends the low bid from McCreery and Sun of Colorado, Inc be awarded and the second low bid from Frontier Mechnical, Inc. be rejected. The commissioners are going to ask why we are going to install 6 units and will that meet are needs. So we need to be a little bit more technical for the commissioners. They were already asking questions today.
